Responsible for administering the leaves and absence management processes in accordance with federal, state, and local regulations, short-term or long-term disability plans and company policies. Includes ensuring timely notifications and communications with vendors, employees, and supervisors regarding leaves and accommodations with focus on employee experience, accurate pay, compliance, and continuous improvement.

Administer the leave of absence and accommodation process for assigned employee groups, including medical and family leaves, short-term and long-term disability, maternity and parental bonding, military and any unpaid leaves of absence.

Supports vendor integrations and interfaces for accurate data recording and reporting, accurate pay and applicable benefit deductions for employees on leave and statutory filings and oversight/direction of direct billings and payments for benefit continuation during unpaid leaves.

Maintains clear lines of communication and collaborates internal team members and partners to ensure a successful implementation of changes, legal updates and transitions. This includes but is not limited to HRBP’s, Employee Health and Safety, HR technology, payroll and approved vendors.

Manages complex employee communications, issues and appeals; provides recommendations to Benefits leadership and Legal counsel.

Develop and implement streamlined leave policies, processes and procedures to achieve optimal employee experience and to protect the company; perform regular end-to-end operational assessments to ensure the performance and outcomes are aligned with the goals of each.

Provide ongoing plan administration including evaluation of program performance and trends. Prepare and present reports to analyze disability, leave and accommodation trends. Identify trends the leave reasons and purpose strategies to reduce the need for leave or promote a more efficient transition back to work.

Maintain current subject matter expertise of federal, state and municipal leave laws and regulations as well as company policies for assigned employee groups. Monitor changes in regulations that may affect the delivery of leave and disability administration. Propose revisions to internal documents, policies and communications for review and approval to ensure compliance.

Coordinate, track and manage leave accommodations under the Americans with Disabilities Act Amendments Act (ADA) and any other applicable regulation or company policy. Identifies the root cause of favorable and unfavorable trends and reports to Benefits leadership team.

Connect with all new hires and current employees who self-identify as disabled and request an accommodation.

Maintains complete and accurate records of leave and accommodation requests and outcomes in accordance with company requirements.

Assist with ongoing vendor analysis and selection. Ensure vendors are meeting contractual service level requirements and performance guarantees.

Creates and maintains resources to assists employees, HR Business Partners and management with absence management, disability and accommodations.

Supports all regulatory compliance and reporting requirements.

Minimum Job Requirements

Education

Bachelor’s degree in Human Resources or related field.

Work Experience

At least 3 years’ experience administering leaves within a large, complex company with over 5,000 employees and operations in ten or more states.

Experience must include self-funded short- and long-term disability plans, Family Medical Leave Act (FMLA) and similar state and local regulations, military leaves, maternity and parental leaves, COBRA, HIPAA, ADA/ADAAA and Workers’ compensation and life benefits as it relates to integrating with leave and disability programs.

Experience applying regulatory knowledge of FMLA and other state and local statutory leaves and other appropriate compliance requirements

Experience using enterprise-wide (ERP) HR systems such as Workday, Oracle Cloud HR, or SAP/SuccessFactors.

Knowledge / Skills / Abilities

Advanced knowledge of disability concepts, disability plans, medical terminology, claim management practices and principles, reasonable accommodations and return to work practices.

Vendor management concepts and ability to have difficult conversations needed to ensure vendors are meeting contract and service level agreements.

Excellent verbal, interpersonal, and written communication skills necessary to interact with staff at all levels of the organization.

Requires attention to detail and analytical skills necessary to evaluate situations and take appropriate action.

Critical thinking skills with the ability to research and analyze data drawn from multiple sources to find problems and make effective decisions.

Strong customer service orientation.

Ability to develop and maintain effective working relationships with a variety of stakeholders.

Consultative and collaborative style that allows for influence without authority.

Proficiency in MS Office applications. Highly proficient with Word and Excel.

Position requires maintaining confidentiality of sensitive information.

Physical Demands : While performing the duties of this job, the employee is regularly required to talk and hear; and use hands to manipulate objects or controls. The employee is regularly required to stand and walk. On occasion the incumbent may be required to stoop, bend or reach above the shoulders. The employee must occasionally lift up to 25 pounds. Specific conditions of this job are typical of frequent and continuous computer-based work requiring periods of sitting, close vision and ability to adjust focus. Occasional travel.
